Frequently asked questions
Everything you need to know – in one place
What is Idha Online?
Can Idha be used as the only compliance system?
Yes. Idha is a standalone compliance platform covering all tachograph and working time obligations — from data ingestion and infringement detection to driver notification and audit documentation.
What does Idha Online do?
Idha Online analyses tachograph data to determine legal compliance, estimate regulatory fine exposure, document infringements, and deliver audit- and payroll-ready reports — all in one platform.
How does Idha Online differ from a generic fleet management system?
Fleet management systems tell you where your vehicles are. Idha tells you whether your drivers are legally compliant, what your fine exposure is, and whether your payroll documentation is audit-ready. These require fundamentally different analytical depth.
Does Idha have a driver app?
Yes. The Idha driver app notifies drivers of infringements in their own language, documents that they have been informed, and supports the corrective action workflow, helping companies document that drivers have been informed and that follow-up has taken place.
Who typically uses Idha Online?
Compliance managers, fleet and transport managers, company owners, and finance teams. Idha currently serves more than 10,000 daily users across Europe.
Why do we need a dedicated compliance system?
Manual tachograph management is error-prone and difficult to defend during inspections. Idha automates analysis, flags infringements early, and creates a timestamped, auditable compliance trail.
What happens when regulations change?
All regulatory updates are handled centrally by Idha. Customers automatically benefit from updated rules, new country coverage, and revised enforcement parameters — no action required on their side.
How large does our fleet need to be?
Idha serves fleets from small operators to large enterprises — currently 80,000 vehicles under management across Europe. The compliance risk case is typically clear from the first commercial vehicle.
What is the pricing model?
Idha is offered as a subscription-based SaaS solution, priced per vehicle under management. No large upfront licence costs. Pricing varies by market and configuration — your Idha contact can provide a tailored quote.
Can we use Idha data for driver payroll calculations?
Yes. Idha monitors driving and working time in line with applicable collective agreements and exports payroll-ready data — reducing manual reconciliation and the risk of errors or disputes.
Compliance & Risk
Can Idha estimate fine risk before an inspection?
Yes. Idha converts detected infringements into estimated financial exposure in EUR or any wanted local currency, based on country-specific enforcement rules. Finance and management get a concrete risk number, not just a list of driver alerts.
Which regulations and countries does Idha Online cover?
Idha supports EU Tachograph Regulation (EC 561/2006), the Working Time Directive (2002/15/EC), and country-specific enforcement rules across Europe. Fine estimates are available for 11 countries, with coverage expanding.
Is Idha Online available in multiple languages and adapted to local legislation?
Yes. The platform supports multiple languages and is continuously updated to reflect both EU-level and national legislation — so customers always operate on current rules without any manual updates.
How does Idha help during audits or inspections?
Idha provides a full, timestamped compliance history per driver and vehicle — including infringement records, driver notifications, and corrective actions. Demonstrating systematic monitoring can help reduce enforcement risk.
What happens when regulations change?
All regulatory updates are handled centrally by Idha. Customers automatically benefit from updated rules, new country coverage, and revised enforcement parameters — no action required on their side.
Do I need Idha if I only have one vehicle?
Tachograph obligations apply based on vehicle type and commercial use — not fleet size. A single commercial vehicle operator faces the same legal requirements and inspection risk as a large fleet. Idha scales to any size.
What is the penalty exposure if we are found non-compliant?
Penalties vary by country but can reach tens of thousands of euros per inspection. Repeat or systemic infringements attract significantly higher fines. Idha’s fine estimates module quantifies this exposure before an inspector does.
What applies to international transport?
Vehicles in international transport are required to use second-generation smart tachographs (G2V2). Non-compliance carries significant fines. Idha supports G2V2 data and tracks obligations specific to cross-border operations.
Does Idha support fine estimates in local currency?
Yes. Fine estimates are available in EUR or in the relevant local currency, depending on country configuration.— giving finance teams directly usable risk figures.
Data & Integration
How does tachograph data get into Idha Online?
Via OEM direct feeds, Idha’s own DigiDL hardware device, third-party telematics integrations, or manual DDD file upload. Most fleets use a combination, and Idha supports all four in parallel.
Why do we still need Idha if we already download data via OEM?
Downloading files is only the first step. Idha provides the legal analysis layer: infringement detection, driver notification, regulatory documentation, and audit-ready reporting. Raw file downloads do not fulfill compliance obligations on their own.
What does Idha provide that our telematics system does not?
Telematics platforms focus on vehicle location and operational data. Idha focuses on legal compliance depth: fine exposure modelling, WTD analysis, driver infringement workflows, and payroll-ready exports. These are different problems requiring different platforms.
Does Idha integrate with payroll, HR, and other systems?
Yes. Idha offers API access and standard integrations with payroll, HR, fleet, and telematics systems. Working time and infringement data can be exported directly into downstream workflows.
What type of data is exchanged through integrations?
Tachograph files (DDD/TGD), working time summaries, infringement records, and driver and vehicle identifiers — structured for direct ingestion by HR and payroll systems.
Can Idha Online store our tachograph records centrally?
Yes. Idha functions as a secure central repository for driver card and vehicle unit data, with role-based access and full audit trails. This replaces fragmented local storage or manual filing.
How does data storage and backup work?
Idha uses secure, redundant data storage with regular automated backups, ensuring data integrity and continuous availability.
How long is data stored?
Data is retained in line with legal requirements – 2 years. Extended retention is available for customers who need longer audit trails.
Can dashboards and reports be customised?
Yes. Dashboards, widgets, and reports are configurable by role — compliance managers, fleet operators, and finance teams each see the view most relevant to them.
Can multiple users access Idha with different permission levels?
Yes. Idha supports role-based access control, allowing fleet managers, compliance officers, payroll teams, and executives to access the data relevant to their function — without exposing unnecessary detail.
